Who we are

Solid H2o is a wholesale ice manufacturer and supplier based in Nelson, New Zealand. This policy explains how we handle personal information collected through this website and in supplying ice to our stockists and wholesale customers. We comply with the Privacy Act 2020. Information we collect

We only collect what we need to respond to you and supply our ice:

• Contact form: your name, email address, subject and message.
• Stockist applications: business name, NZBN, trading address and website, and the contact person’s name, position, phone number and email address, plus the name signed when accepting our wholesale terms and the date.
• Wholesale customers: business and billing contact details, delivery site addresses and site contacts, orders and delivery schedules, agreed pricing and invoices, and delivery records, including the name of the person who received a delivery and freezer stock counts taken by our drivers.
• Customer accounts and online orders (if you create one): your name, email address, password, phone number, saved addresses and order history. Card payments are handled by Stripe; we never see or store your full card number.
• Technical information: when you submit a form, your IP address is used briefly to stop spam and abuse. We do not store it with your submission. Our hosting provider may keep standard server logs for security.

Looking up a bag using the code on its label does not require you to give us any personal information.

How we use it

• To reply to your enquiries and provide quotes.
• To assess stockist applications and set up wholesale accounts.
• To take orders, plan deliveries, invoice and collect payment.
• To trace batches of ice and contact stockists quickly if a product recall is ever needed.
• To keep the website secure and prevent spam or fraud.
• To meet our legal obligations, including food safety, tax and accounting requirements.

Stockist listings

If you are an approved stockist, we may publish your business name, trading address, phone number, email address and website on our website so customers can find you. Tell us if you would like any of these details removed or changed.

Who we share it with

We never sell your information. We only share it with:

• Resend, which sends our website and order emails.
• Stripe, which processes card payments.
• Our website hosting, database and file storage providers.
• Government agencies, such as food safety regulators, where we are required to by law or need to manage a recall.

Some of these providers store information outside New Zealand, including in the United States. We use providers that protect personal information to a standard comparable to New Zealand law.

Cookies and browser storage

We do not use advertising or analytics cookies. If you sign in, a secure cookie keeps you logged in. If you use the online store, your browser stores your cart and a random cart ID so your items are kept between visits. You can clear these at any time in your browser settings.

Security and retention

Your information is stored on secure systems, and only Solid H2o staff who need it can access it. Passwords are stored in encrypted form. We keep information only as long as we need it. Invoices, payments and other business records are kept for seven years, as required by New Zealand tax law, and batch and delivery records are kept for as long as food safety rules require. Enquiries and unsuccessful applications are deleted when no longer needed.

Your rights

You can ask to see the personal information we hold about you and ask us to correct it by emailing solidh2onelson@gmail.com. We will respond within 20 working days. If you are not happy with how we have handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
